Infrastructure Security

Encryption

All data transmitted between your browser or mobile device and Fleet Wage is encrypted using TLS (Transport Layer Security). Data stored within our platform is encrypted at rest using AES-256 or equivalent encryption standards.

Secure Hosting

Fleet Wage's infrastructure is hosted with enterprise-grade cloud providers that maintain their own rigorous security certifications and compliance programs. Our hosting environment includes redundant systems, automated backups, and geographic distribution to ensure data availability and resilience.

Payroll Integration Security

When you connect Fleet Wage to a third-party payroll provider (such as ADP, Paychex, or other supported providers), data is transmitted through secure, encrypted API connections. We only transmit the minimum data necessary to complete payroll processing on your behalf.

Mobile Application Security

Our mobile applications follow platform-specific security best practices for iOS and Android, including secure local data storage, certificate pinning, and secure communication with our servers.


AI and Data Privacy

Fleet Wage uses AI-powered features to optimize scheduling and workforce management. We take your data privacy seriously in this context:

  • Your data stays yours. We do not sell your data or share it with third parties for their own purposes.
  • No external AI training. Your scheduling, payroll, and employee data is not used to train general-purpose AI models outside of Fleet Wage.
  • Purpose-limited processing. AI features process your data solely to provide you with scheduling recommendations and workforce insights within the Fleet Wage platform.

Employee and Organizational Security

  • Security Awareness: Fleet Wage team members receive training on security best practices, data handling, and phishing prevention.
  • Least Privilege Access: Internal access to customer data is restricted on a need-to-know basis, with access logging and regular reviews.
  • Vendor Management: Third-party vendors and service providers are evaluated for their security practices before integration.

Your Role in Security

Security is a shared responsibility. We recommend the following best practices for all Fleet Wage users:

  • Use strong, unique passwords for your Fleet Wage account
  • Do not share your account credentials with others
  • Keep your browser and mobile app updated to the latest versions
  • Review user permissions regularly and remove access for former employees promptly
  • Report any suspicious activity immediately to [email protected]
  • Log out of your account when using shared or public devices
