How the Integration Works

Step 2: Export to Your Payroll Provider

FleetWage generates an export file formatted for your specific payroll provider:

  • Gusto — formatted for Gusto's payroll import API
  • Paychex — compatible with Paychex Flex import format

The export includes each driver's total gross pay, broken down by regular pay and overtime pay, along with any pre-tax deductions.

Step 3: Process in Your Payroll Provider

Import the FleetWage export into your payroll provider. Your provider then handles:

  • Federal and state tax withholding calculations
  • FICA, FUTA, and state unemployment tax
  • Direct deposit processing
  • Pay stub generation
  • Tax filing and reporting
  • W-2 generation at year-end

Step 4: Reconcile

Setting Up the Integration

ADP Integration

For ADP Run users, FleetWage exports a CSV file that maps to ADP's batch import template. The process takes about 5 minutes per pay period:

  1. Run payroll calculations in FleetWage
  2. Export the ADP-formatted file
  3. Log into ADP Run
  4. Import the file under Payroll > Import Hours/Earnings
  5. Review and submit payroll in ADP

For ADP Workforce Now users, the process is similar but uses ADP's more advanced import capabilities, including support for multiple earning codes (regular, overtime, bonus).

Gusto Integration

Gusto supports payroll data import through its contractor and employee pay entry. FleetWage formats the export for Gusto's specific requirements:

  1. Run payroll calculations in FleetWage
  2. Export the Gusto-formatted file
  3. In Gusto, navigate to Run Payroll
  4. Enter the calculated amounts per employee (or use Gusto's bulk entry feature)
  5. Review and submit

Gusto's interface is designed for simplicity, which makes the import process particularly straightforward.

Paychex Integration

Paychex Flex supports batch payroll entry through file import:

  1. Run payroll calculations in FleetWage
  2. Export the Paychex-formatted file
  3. Log into Paychex Flex
  4. Import the file through Payroll > Import
  5. Review and submit payroll in Paychex

Other Providers

If you use a payroll provider other than ADP, Gusto, or Paychex, FleetWage can typically generate a generic CSV export that your provider can import. Contact our support team to set up a custom export format for your provider.
