QuickBooks + FleetWage

Export per-stop pay, overtime, bonuses, and deductions directly to QuickBooks with one-click CSV export.

Overview

FleetWage generates QuickBooks-formatted CSV files that import directly into QuickBooks Payroll. Many FedEx ISP owners already use QuickBooks for accounting — FleetWage bridges the gap between FedEx settlement data and QuickBooks payroll processing.

Most FedEx ISP contractors already keep their books in QuickBooks. The accounting side is comfortable: settlement income hits the bank account, fuel and equipment expenses get categorized, and the P&L tells you whether the business is profitable. The friction shows up at payroll — QuickBooks Payroll is general-purpose, and "per-stop pay" isn't a category it understands.

FleetWage runs the per-stop calculation on top of FedEx settlement data, then exports a CSV that QuickBooks Payroll accepts directly. You keep accounting and payroll in QuickBooks, you just stop doing the FedEx-specific math in a spreadsheet.

Why QuickBooks Matters for FedEx ISP Contractors

QuickBooks-using ISPs typically have one of two pain points: either the spreadsheet behind weekly payroll has gotten too complex to trust, or year-end reconciliation between payroll and the general ledger takes a week of cleanup because pay items were entered inconsistently. FleetWage fixes both — calculations are deterministic, exports are formatted to QuickBooks' chart of accounts conventions, and pay history is preserved per driver. The other benefit specific to QuickBooks users is that route profitability becomes visible. FleetWage tracks revenue and pay per route, and when you reconcile that against fuel and maintenance categorized in QuickBooks, you finally get a true cost-per-route view. Most ISPs discover that one or two routes are dragging the whole CSA's margin once they can see it clearly.

Common Use Cases

How FedEx ISP contractors use FleetWage with QuickBooks every week.

Owner-operators who do their own books

If you're already in QuickBooks every week categorizing expenses, FleetWage fits naturally. Same Friday-morning workflow, just with the per-stop calculation done correctly.

ISPs working with an outside bookkeeper

Hand your bookkeeper the FleetWage export and the QuickBooks file each week. The bookkeeper's job becomes import + reconcile, not rebuild.

Fleets focused on route-level profitability

FleetWage's route P&L plus QuickBooks' expense detail gives you the closest thing to true per-route margin available to FedEx ISPs without enterprise tooling.

Best Practices & Tips

Advice from FedEx ISP contractors who use FleetWage with QuickBooks.

  • Decide whether you're using QuickBooks Online Payroll or QuickBooks Desktop Payroll before configuring the integration — the file format differs slightly and importing the wrong one will fail.
  • Map FleetWage pay items to QuickBooks Payroll items 1:1. Don't combine "Per-Stop" and "Bonus" into a single line — the visibility you'll lose at year-end isn't worth the small simplification.
  • Reconcile gross payroll in QuickBooks against the FleetWage Payroll Dashboard each week. Five minutes now beats five days at year-end.
  • Use the same FedEx CSA name in QuickBooks classes that you use in FleetWage. Consistent naming makes route-level profitability reports trivial to build.
